If you write to a business’s assistant

The conversation with the assistant and your enquiry go to the specific business you are writing to. The business decides why and how it uses your enquiry; we process it on the business’s behalf.

  • What we store: the conversation text, what you enter in the enquiry (name, phone or e-mail, need) and a shortened IP address checksum to limit abuse. We do not store the full IP address in the database.
  • AI processing: to prepare an answer, the conversation text is sent to the Google Gemini API. Do not write sensitive data in the chat (health, card numbers, passwords).
  • Retention: conversations for 180 days, enquiries for 365 days, after which they are deleted automatically. The enquiry also goes to the business’s e-mail, where the business itself keeps it.
  • Cookies: the assistant does not use cookies. To continue a conversation, a conversation token is kept in the browser tab’s memory and disappears when you close the tab.
  • Demo: Autoserviss 4U demo conversations are visible only to the KlientuPilots operator; demo enquiries are not sent to the garage.

If you are a business owner (account user)

  • What we store: your e-mail, the business data you enter, conversations and enquiries, usage records and Stripe customer/subscription identifiers.
  • Why: to provide the service you ordered (contract) and to issue invoices (legal obligation).
  • Payments: cards are processed by Stripe. We never see or store card details.
  • Reading your website: at your request we read the public text of your website and use AI to fill in the fields. The page text is not stored.
  • Additional knowledge (documents and links): from an uploaded PDF, DOCX or TXT file we keep only the extracted text, not the file itself. The text and the content of read links are used only for your assistant’s answers (and sent to the Google Gemini API together with the conversation) and are deleted when you delete the source or your account. Do not upload documents containing customers’ personal data.
  • The “Ask about KlientuPilots” help assistant: your question, together with the help articles and your account status (e.g. plan, number of conversations, whether the assistant is published), is sent to the Google Gemini API to prepare an answer. We do not store question texts; we only record the number of requests and their cost. A support request you send yourself is stored and forwarded to our support e-mail.
  • Help requests and problem reports: we store your e-mail, phone (if given), the description and the page address without parameters so we can reply and fix the problem.
  • News: only if you subscribe yourself and confirm your address by e-mail. We store your e-mail, the subscription and confirmation time, the page you subscribed on and the version of the consent text. You can unsubscribe at any time with the link in every e-mail — no login needed. Sending a help request or problem report does not subscribe you to news.
  • Visit statistics: on public pages we count page views, the entry page and the source (e.g. a search engine or an ad campaign UTM). We do not store IP addresses, device fingerprints or full addresses with parameters; sessions are told apart by the same necessary session cookie.
  • Cookies: in your account we use one necessary session cookie for login.
  • Deletion: you can delete your account with all data yourself under “Subscription”. Invoice data is kept at Stripe for as long as accounting laws require.

Service providers

  • Area IT (Latvia) — server and e-mail sending.
  • Google (Gemini API) — preparing AI answers.
  • Stripe — payments and subscriptions.
  • YouTube — a video on the sales page loads only after you click.

Your rights

You can request access to your data, its correction or deletion by writing to info@iksum.lv. If you write about a conversation with a specific business, we may pass your request on to it. You can lodge a complaint with the Latvian Data State Inspectorate.
